Starting a new task list

Schedule a structured list of tasks and actions for you to complete. This can help you with managing your workload and your time.

Task List dashboard

The task list overview lets you view all your tasks in a simple interface - providing quick access to the task status e.g. Draft, In-progress and Complete, assignee of each task and when the task was created.


The task list process covers 3 key steps with an option to cancel the process.

  1. Draft

  2. In progress

  3. Complete


Quick tour

Let's first show you a few actions you can take while viewing your Task List dashboard.

  1. Status: Sort the process status order (e.g. Draft, Approval, Complete) between ascending & descending.

  2. Export: Export all visible columns to Excel, CSV or print.

  3. Columns: Customise and choose which columns you see.


How to create a Task List

1. To start a new task list, click the Add+ button.


1. Draft

In the Draft stage, you can set up the relevant information such as; who this task list involves, what kind of existing template you would like to use, and the effective date of the reason for this list of tasks to complete.

Important: The 'Effective Date' will differ for each project, for an onboarding it could be the start date, whereas for a certificate if it could be the expiry.

Task List details

In the Task List Details section, you can select the existing template type, the owner of this task list, the company, and the employee the task list involves. The employees direct manager will then populate into the manager field.

Tasks

In the Tasks section, you can view, add and edit tasks:

When creating tasks you can choose a between two different types of tasks; Email or Action.

  • Email; will be sent to intended recipients on set days. These recipients do not need to belong to the HR Today platform

  • Action; will trigger a notification to be sent to specific recipients within the company who will need to log into HR Today to confirm they have completed the task

Category

Every task (Email or Action) falls within a category to help organise your task list. The categories are structured around the Effective Date of your project.

These three categories are the following:

  • Pre-Effective Date 

  • During Effective Date 

  • Post-Effective Date 

Schedule

A task can be scheduled to occur in four different ways these will already be set up when using an existing task list:

  • Prior to Effective Date 

  • Post Effective Date 

  • Immediate (Now)

  • Specific Date

To adjust the dates each task send or is due, simply click on each Action or Email to pull up the task list details.

Task List Detail

in this window the most important fields to check are the recipient field and the date. As each task list template is set upon an estimate of dates this field may need to be adjusted to take into account weekends and/or holidays.

Good to know: using the arrows at the bottom right of the pop up window, you can quickly flip between each task in a task list.

Once you have finished editing your task list, click the Begin button to start the task list.

2. In Progress

In the In Progress stage, an email notification will be send to specified recipients of each task item notifying them of the assigned task to complete. If the task is an Action the recipient will be instructed to log into the HR Today platform to complete their task.

Good to know: If a task reminder email is misplaced, no need to worry. Every Monday morning a reminder of Items to Action email is triggered by HR Today to remind you of any outstanding items to complete.

Completing an Action

Links to accessing assigned Actions can be found in three places: on your Dashboard, in the notice of action assigned email or in the weekly reminder of items to action.

Clicking into the action will bring up your assigned task. simply select Begin, enter in any completion notes and add any supporting attachments before marking the task as complete.

3. Complete

Once all tasks have been checked off and completed, click the Complete button to close the task list.
