Acknowledgements

Learn how to accept / sign a document that has been sent by your manager for acknowledgment.

What is an acknowledgement?

An acknowledgement is a formal declaration made by an individual to confirm that they have signed a legal document.

It typically includes the date and location of the signing, as well as the name of the signatory.

The purpose of an acknowledgement is to provide proof that the signature on the document is authentic, and that it was signed voluntarily.



Why is an acknowledgement necessary?

When updates are made to a company policy or an entirely new document has been introduced into the company this sometimes affects the employees of that company.

This means companies will send the document to all affected employees to sign stating they accept and acknowledge the new company procedures and scope. This helps ensure everyone is on board and complies with company policy.


How to view all documents requiring an acknowledgment

1. From any page, use the navigation pane at the left of the screen and select the Dashboard button to display your list of processes that you need to action, then select the Acknowledgement you wish to view by clicking on the Type (as seen below).


How to accept a document requiring an acknowledgement

Viewing your selected Acknowledgement,

1. Review the Acknowledgement Summary section and check that all the information fields are correct.

These fields include:

  • Initiated By

  • Initiated Date

  • Company

  • Employee

  • Due Date

Note: If a field is incorrect, please scroll to the bottom of the page and click the Decline button to notify your manager / employer. We recommend providing a reason for declining the offer e.g. "I believe the due date should be moved to the 19th of April 2024 as I have 2 days of annual leave around this period".

2. Read the Acknowledgement Documents that have been attached.

In the example below, an Annual Leave Policy has had some changes and requires all employees to acknowledge the new changes and accept by e-signing via the HR Today platform.

Once you have reviewed the documents, use the Signature window to draw your e-signature, then click the Generate Signed Letter button to generate e-signed versions of the attached documents.

Important: Remember to complete this acknowledgement before the due date.

3. Once you have reviewed all the information and have e-signed the documents, click the Acknowledge button at the bottom right of the page to finish the documents acknowledgement process.
