Company overview

Access Company Profile pages to edit and view your company(s) details.

Note: Only a Primary Admin role can access your company page and access these features. If you have a Manager or User role please get in touch with your Primary Admin.


Access a Company Profile from your Dashboard

1. From any page, use the navigation pane at the left of the screen and select the Companies button to display your list of companies and then select the company you wish to view by clicking on the Name.

After you have clicked a company's Name, you will be taken to the Company Profile.

 


 

Overview - Company Profile

Here is the Company Profile, this allows you to view and edit a company's information in 8 tabs (displayed below). Let’s walk through the:

  • Details tab

  • Contacts tab

  • Departments tab

  • Positions tab

  • Onboarding tab

  • Acknowledgements tab

  • Documents tab

  • Task List Templates tab

 

 

Details tab

By default, the Company Profile opens to the Details tab. View the company's name, contact information, logo, and website here.

Note: Company Address contains the physical address and a checkbox option, which when ticked, enables you to add a postal address (if different).

 

Contacts tab

After opening the Company Profile, choose the Contacts tab to view the contacts of the business / who will have access to HR Today. Currently, this is a manual entry that is not linked to the employee list.


How to add company contacts

1. To add a new company contact, click the Add+ button to open a pop-up window.

2. Within the pop-up window, fill in the following fields; the contact's first name(s), last name, mobile number, DDI (Direct-Dial-In), email, position, a checkbox for whether this person is a Key contact and notes.


3. To continue adding new company contacts click the Save & Add New button or click the Save & Close button when you are finished.


How to delete a company contact

1. To delete a contact, select the checkbox to the left of the contact's name and click the Delete button.


Departments tab

After opening the Company Profile, choose the Departments tab to view all departments of the business need to be added here. Departments can be added, edited or deleted at any time.


How to add a new department

1. To add a department, click the Add+ button.

2. To rename the department, click on the Name of the department.


How to delete a department

1. To delete a department, select the checkbox to the left of the department's name and then click the Delete button to the right of the Open button.


Positions tab

After opening the Company Profile, choose the Positions tab to view all positions in the business and the position descriptions for each of those roles. Positions can be added, edited, or deleted at any time.


How to add a new position

1. To add a new position, click the Add+ button.

2. To rename a position, click on the Name of the position.


How to delete a position

1. To delete a position, select the Checkbox next to the position and click the Delete button, located to the right of the Add+ button.


Onboarding tab

After opening the Company Profile, choose the Onboarding tab to view the KiwiSaver contribution rate, and the agreement templates for different employment templates.

Agreement templates can be added, edited, or deleted. Agreement templates are automatically pulled through into the onboarding process.



Acknowledgements tab

After opening the Company Profile, choose the Acknowledgements tab to view and edit your company's acknowledgements template, and set the default number of days that a acknowledgement is due.

The Acknowledgement Text allows you to have a pre-written template that you are able to customise when you are in the process of sending a new acknowledgement to employees.

Here's an example of a pre-written Acknowledgement Text:

Hi [Employee First Name],

We have updated our [Write about the new changes, document affected, and stakeholders involved].

We are requesting [Add stakeholders] to review and accept the new changes by e-signing this acknowledgement via the HR Today platform.

The due date for accepting the new changes is [DD/MM/YYYY].

If you have concerns, please don't hesitate to contact me.

Thanks,

[Manager Full Name]

[Manager Position] at [Company Name]

Note: These [fields] are not automatically replaced in the Acknowledgement Text, and are used as a reference for yourself to manually replace with the relevant information.

Documents tab

After opening the Company Profile, choose the Documents tab to view all company related documents, such as policies, code of conduct, team handbook, IEA templates, letters.

How to add a new document

1. To add a new document, click the Add+ button.

2. Within the pop-up window, enter details of the new document or policy you want to upload.

3. To continue adding new employment variations click the Save & Add New button or click the Save & Close button when you are finished.

Best practice: We highly recommend adding a note in the Summary for when the document was last reviewed e.g. 'Reviewed April 2024 by Carlie' this ensures you keep track of all your documents, when that were last updated, and by what team member.

Task List Templates tab

After opening the Company Profile, choose the Task List Templates tab to view the company's current list of task list templates. Task list templates are used to manage your tasks without leaving HR Today. You can set reminders for actions to complete, such as a reminder to 'Begin the Offboarding Checklist' as well as send automated employment emails to team members.

The templates are able to be viewed, edited and deleted and will automatically populate in the list of templates available to use when you set you set up a new task list via the Task List dashboard.
